Other solutions insist on you buying their QR codes or additional equipment but you are free to decide how you label your equipment. Full customisation of the data makes setup a little lengthy as you are setting up from scratch, however the process is easy and once set up simple to tweak as required. The reports are easy to run and the ability to write equipment off but still track it's whereabouts in the system is a helpful addition. Equipment booking is easy - it can be done with a simple QR code scan on both equipment and staff member, fully customised and accessories added as required/applicable. Returns are also easy - staff can even return their own equipment due to the portal's customisation options (per user if required). Plenty of integrations allow sync with many MDM options, Azure etc. No extra equipment required at this site - everything is handled either by the website or the app, including scanning QR codes. Users can be given different permissions depending on need and single sign on is also possible for extra security. > > **Puntos en contra**: Integrations can be a bit clunky and not always automatic. I find nesting department/rooms can be a bit messy. Automatically applying asset numbers works up to a point but when someone changes the pattern (for example skips a number - such as 1052 and skipping to 2000, or starts adding letters) it's not possible to revert to the previous pattern. (starting back to 1053). To get around this we started using the serial number as the asset tag as it can be automatically populated in the app. > > We've been using reftab for a long time, since it was a fairly new product. New features are constantly being added and pricing has remained steady. For example, when we term an employee, it would be nice if Reftab could automatically assign their assets to a "returning to stock" status automatically. Furthermore, some of the built in templates and asset fields we don't use but we can't remove them. Its pricing model is also a bit expensive. > > Overall, it's better than what we had before. Some of the many features we like are: Tenants: which allows us to have our Campuses under separate tenants and support us with different opening times, time zones and different ways of working we have across the University API design: we rely heavily on the API to integrate booking information with our timetabling platform. We have had a very positive experience using the API and its supporting documentation UI: Having customisable portal for our users really helps with our multiple brands and the staff view is well designed and easy to navigate. User provisioning: We are able to configure this all via the UI which makes the set up and maintenance much more efficient compared to our last vender. > > **Puntos en contra**: I don't think there are any Cons, any gaps that have been identified have been quickly resolved and Reftab have been very reactive to include enhancements that support not only us but their other customers. > > We have been using RefTab for over a year now at our 9 campuses across the university. Its a great product and simplified our way of tracking University assets. We moved from a different vender which was becoming too costly for us to maintain so migrated to Reftab. The onboarding of Reftab was excellent and we have built a great relationships with the project and support team members at Reftab. We were well supported throughout with regular catch ups and support for the development team. Compared to our previous product we have also reduces our internal support tickets to our Application team by more than 50%. in the last year we have had 30 tickets raised to the central teams which have all been minor issues like user error or training. Our previous product for the 8 month in 2024 had 71 ticket.
